Managing Your Members
Bros in the sidebar is your full member list: everyone who’s registered for one of your events. Managers and owners can see it.
Finding someone
Section titled “Finding someone”Search by name, email or member ID. Quick filters below the search narrow the list to Total, Active, Pending, Never Attended or Banned. The Portal login checkbox shows only members who’ve signed in to the member app at least once.
A member’s profile
Section titled “A member’s profile”Click a name to open their profile: contact details, registration history, credits and points, an activity timeline, and notes from your team. You’ll also see when they last signed in to the member app (“Never” if they haven’t).
Status
Section titled “Status”- Pending. Registered but hasn’t attended yet.
- Active. Has attended at least one event.
- Restricted. Can still register, with limits, for example Pay at Door turned off (see Attendance Policy).
- Banned. Can’t register or attend.
Owners can change a member’s status from their profile.
Notes and flags
Section titled “Notes and flags”Add a note to anyone’s profile. Notes are for your team only and never shown to the member. Use flags for anything that needs attention at check-in.
Credits
Section titled “Credits”A member’s credit balance shows on their profile, and they can spend it on future events (see Payments). Credit comes from cancellations, Bator Points rewards, or an owner adding it.
To add credit (owners), use Issue Credit on their profile and say whether:
- they paid you for it in cash or by card. It counts as revenue in your reports.
- it’s goodwill, given for free. It doesn’t count as revenue.
Memberships
Section titled “Memberships”If your club offers memberships (Settings → Membership, owners), members can enroll online, and an owner activates the membership in person from the member’s profile. The profile shows their membership status and history, with buttons to Activate, Renew or Cancel. Members see their membership on the Billing page of their member app.
Who can see what
Section titled “Who can see what”If someone from another club in your network registers for your event, you see their profile in read-only mode: what’s relevant to their registration, but not their home club’s age verification or private notes.
How old records age out
Section titled “How old records age out”JackOps tidies up member records automatically, so you don’t have to:
- Someone who registered but never attended or paid is removed after 90 days of inactivity.
- A member with no activity for 2 years is archived and hidden from your list. If they register again, they’re restored automatically with their history intact.
- After 7 years, archived records are anonymized. Their attendance and payment history is kept for your records, but their name and personal details are removed.
Nobody with an upcoming registration is ever touched.
