Creating Your First Event

From Events, click + New Event. Here’s what each field means.

  • Event Type and Category. Pick the kind of event you’re running. Choosing a saved event type fills in your usual defaults, so set your common ones up once (see Managing Events).
  • Title. What members see, for example “Saturday Evening Session.”
  • Slug. The web address for the registration page (for example evening-session-04-23-2026). It’s suggested from the title, but you can change it. Keep it short, with no spaces.
  • Club. Which club the event belongs to. Only shown if you manage more than one.
  • Start Date & Time and End Date & Time. When the event begins and wraps up. The end time also controls when post-event emails go out.
  • Doors Close. The check-in cutoff. After this, no more walk-ins.
  • Capacity. The most people who can register. Leave it blank for no limit. When it fills, new people are offered the waitlist instead (see Cancellations & Waitlist). Volunteers don’t count toward capacity.
  • Description. Shown on the public registration page.
  • Image URL (optional). A picture for the event listing.
  • Venue. Pick one of your saved venues to fill in the address details below. Add venues under Settings → Venues.
  • General Location. A rough area shown publicly before the event, for example “Cary, near Parkside Commons.” It doesn’t have to be the exact venue.
  • County and General Map Address. Used for the public listing and map.
  • Hotel / Venue Name, Exact Address, Room Number. The real details. These are emailed to registered attendees shortly before the event and are never shown publicly, which keeps the exact location private.
  • Venue Notes. Anything attendees should know, like where to park.

Tick Free event if there’s no charge, for example a social or a volunteer shift. Pricing and payment are skipped entirely.

Otherwise, set up to three prices. Members see them by these names:

Price field Members see How they pay
Early Bator Early Bator Online, at a discount, until the Early Bird Cutoff you set
General Late Stroker Online, standard price
Door Bate at the Door In person when they arrive

Leave a price blank to not offer that option. See Payments for how each is collected.

If you collect feedback after events, paste a form link (Google Forms or similar). It’s included in the post-event email.

Nothing is public until you tick Publish event. Leave it unticked while you set things up, then tick it when you’re ready to open registration.

You land on the event’s page, your main working view before and during the event. See Managing Events for what you can do there. To turn on ReB8 for this event, open Edit Event and fill in the ReB8 Slug (see ReB8 Connections).
