Check-In at the Door

Open the event on a phone or tablet and tap Scan QR from the action menu (⋮). Point the camera at the attendee’s QR code, which is in their confirmation email and in their member app. You’ll see one of these:

  • Checked In. They’re paid and verified. Shows their name, plus any guests or partner.
  • ID Check Required. Their first time, or they need re-checking. Check their ID, then tap Verify & Check In. They won’t need this again at future events.
  • Payment Required. They chose to pay at the door. Tap Cash once you’ve taken cash, or Card / Tap to open the Square app, take the card, then come back and confirm. Either way they’re marked paid and checked in. To let them in without paying, a manager or owner can give you the club’s override PIN: tap Override and enter it (see below).
  • Already Checked In. The code was already scanned. Their name shows so you can confirm it’s really them.
  • Error. Wrong event, cancelled registration or similar. The message says why.

The scanner needs the camera. On iPhone, allow camera access for your browser under Settings. It also only works on a secure (https) connection.

If your club hands out numbered tags, turn on Settings → Attendance → Tag Numbers. Then:

  • After a QR scan, the scanner asks for the tag number.
  • On the roster, every Check in button has a Tag # box next to it.
  • When you take a door payment, there’s a Tag # box in the same form, so the person is paid, checked in and tagged in one step.

Type the number and press Enter. Each number can only be used once per event. To change or remove a number later, tap the number (or + Tag #) on the person’s row.

Search the roster by name or member ID and tap Check in on their row.

Taking payment at the door from the roster

The quickest way is to scan their QR code (above). From the roster instead (managers and owners only):

  1. Find their row and tap Door.
  2. Pick Card or Cash, and check the amount.
  3. If your club uses tags, type the tag number in the Tag # box.
  4. Tap ✓.

They’re marked paid and checked in at the same time, and move into the checked-in part of the roster.

If they have credit on file, you’ll also see Apply Credit. It uses their credit first, and you collect any remainder in card or cash. See Payments.

Override: letting someone in without paying

Door staff can’t waive payments on their own. When a manager or owner says it’s fine, they give you the club’s override PIN. Tap Override (in the scanner, or next to Payment required on the roster), enter the PIN, and the person’s payment is waived and they’re checked in. If it’s their first time, you’ll still be asked to check their ID.

Every override is recorded in Logs with your name. An owner sets or changes the PIN under Settings → Attendance. If no PIN is set, Override is turned off.

Tap Undo next to their check-in on the roster. This works any time while the event is still running.

Door Staff can check people in, undo check-ins, check in guests, verify ID, enter tag numbers, and take payment through the QR scanner. The roster’s Door, Apply Credit and Waive buttons, and cancelling registrations, need a manager or owner.
